Operations Support Associate

Education requirements: Bachelor’s required. 4-7 years of related experience.

Travel Requirements: Minimum, less than 25%

Job Summary

Provides support and assistance to ensure effective use of COO’s time and productive interactions with staff and outside vendors.  Organizes and prioritizes critical issues and information for the executive to facilitate efficient decision making.  Acts as a point of contact or facilitator.  Provides oversight, guidance, and follow through to projects of high importance.  

The essential duties and responsibilities include, but are not limited to:

  • Liaises between operation VP’s, cross functional teams, external vendors, and other stakeholders to ensure deliverables, requirements, schedules, costs, and meeting plans are communicated
  • Assists with and oversees the execution of special projects within the purview and at the direction of the COO
  • Monitors task completion status to identify at risk project tasks and to develop mitigation plans
  • Allocates resources, budgets, and hours to projects and adjusts allocations when necessary
  • Conducts research and information gathering on behalf of the executive and prepares summaries and reports
  • Plans and facilitates meetings to align the team to the COO’s methods and goals and to track tasks
  • Develops positive and strategic relationships at all levels of the organization
  • Other duties as assigned

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift 50 lbs.

Qualifications

  • College degree required
  • 4-7 years of related experience
  • Works autonomously
  • Project management and project skills
  • Microsoft Office applications such as Excel
  • Ability to respond and resolve problems quickly and efficiently
  • Excellent communication skills
  • Organizational and time-management skills
  • Flexible to a changing work environment, available to work overtime, holidays, and weekends as needed
  • Potential travel requirements
